01Leads & opportunities

Give every lead a clear next step.

Start with the customer, then keep each opportunity connected to the people, property, and work involved. Follow your sales pipeline from the first inquiry through an accepted proposal, with ownership and follow-up visible to the whole team.

See where each opportunity stands and who is responsible for moving it forward.

Soffyt opportunity pipeline with customer records, sales stages, assigned owners, and job values

Keep the customer at the center

Connect opportunities to a shared customer record, so contact details, notes, and previous work stay within reach. Track separate opportunities when the same customer needs more than one job.

Build your sales process

Configure pipelines and stages around the work you sell. Use board and list views to see active opportunities, their value, and the people responsible for them.

Follow through on the next step

Keep notes, tasks, email, and appointments connected to the opportunity. Where company phone service is configured, a dedicated Calls/Texts tab brings calls and text conversations into customers, opportunities, and projects, with their history also visible in Activities. Give the next teammate the context to pick up the conversation and move the sale forward.

IN PRACTICE

A homeowner calls about replacing a roof. Create their customer record and opportunity, assign an estimator, and keep the site visit, follow-up, and proposal tied to that same opportunity.

02Email & team inbox

Give every customer email a clear owner.

Connect your email and bring shared inbox work into Soffyt. Assign messages, track their status, and discuss the response internally, with the customer and job records close at hand.

Email ownership and follow-up live alongside the records your team works from.

Personal email and shared inboxes

Connect supported Google or Microsoft accounts. Give the team a shared place to manage office, sales, or service email with access appropriate to each employee.

Assign, discuss, and resolve

Assign responsibility, change a conversation’s status, and leave internal notes for teammates. Coordinate the reply in context instead of forwarding messages between employees.

Learn how your responses land

Use the ‘How was my response?’ feedback workflow to collect customer response satisfaction. Review feedback by team and employee to identify what is working and where coaching would help.

03Quotes & price book

Build a better proposal. Without starting over.

Your quote workspace brings pricing, scope, options, and presentation together. Use a customizable price book for everyday work and an integrated roofing proposal workflow for roof-specific estimating—all inside the same platform.

Build the scope, price the work, and prepare the customer’s proposal in one workspace.

Full resolution ↗
Soffyt quote workspace with an itemized roofing proposal and pricing options

Your prices, your way

Organize products, materials, labor, permits, and services by job type and category. Set descriptions, units, costs, and selling prices so your team quotes from a consistent company price book.

Bundle repeatable work

Group the items you sell together into reusable bundles. Add a complete installation package to a quote while keeping the underlying materials and labor organized.

A home for every trade

Create proposals for roofing, electrical, plumbing, HVAC, insulation, windows, siding, solar, and more. The roofing tool adds roof measurements, waste, and roof-system pricing to the regular quote workflow.

Make your best estimates repeatable.

A well-organized price book means the next estimator can use the same products, service packages, and pricing. Your team can spend more time getting the scope right. The mobile quote workflow supports reopening drafts, finding price-book items, editing names, quantities and prices, and preparing a customer link or email from the quote. Mobile availability and sending setup apply.

04Contracts & templates

Your paperwork. Your terms. Ready for the next job.

Create reusable proposal, contract, and change order templates that reflect how your company sells and delivers work. Pair them with payment schedules that match the job, so the customer sees a clear scope and knows when payments are due.

Keep company documents organized and ready to use across your quote workflow.

Customize the customer’s documents

Create company documents with supported record fields, scope sections, terms, and signature requirements. With Google Docs connected, edit the source, review the customer preview, and publish a version for the team to use. Later source edits do not rewrite earlier signed documents.

Set the right payment schedule

Create reusable schedules for deposits, progress payments, and final balances. Choose the schedule that fits the work and carry it into the project’s billing milestones.

Keep changes just as organized

Use dedicated change order templates to explain revised or additional work. Keep the approval, updated scope, and commercial record connected to the original project.

Make the payment plan part of the agreement.

Build milestones with fixed amounts, percentages, or a remaining balance. Set the due timing and choose which payments customers are prompted to make after acceptance.

05Customer portal

Give customers a clear view of their own job.

Every customer gets a portal connected to their customer record. Soffyt prepares their access automatically, giving them a dedicated place to follow the work you share without your team building or maintaining a separate site.

Created automatically

Portal access is prepared from the customer record, ready for your team to share. Their quotes, projects, appointments, and payment information stay connected to that customer in one place.

Choose what customers can see

Control portal visibility for supported records and documents. Share the information that helps the customer follow the job while keeping internal working records with your team.

Keep the conversation moving

Customers can find the shared information they need and follow payment and document actions from the portal. Your office has fewer files and updates to resend individually.

06Connected projects

The work you sold becomes the work you run.

With the signed-quote handoff enabled, Soffyt creates or connects the project and carries the approved work into it. Review the sold scope and payment milestones together, then use configured project flows and the calendar to plan delivery.

A clean handoff from sales

The handoff connects the customer, property, approved work, and contract details. Check the resulting project before scheduling the crew or ordering materials; an unavailable required flow can need administrator attention.

Signed changes update the job

When a change order is signed, the project’s approved scope and contract value update with it. Your team can follow the current agreement and trace the change back to its source.

Payments follow approved work

Keep collected payments and issued invoices in the financial history. Soffyt updates the remaining payment schedule as the approved contract changes, so past receipts stay intact.

A different flow for different work

Create and publish flows for the work you deliver. Set a company fallback and contract-template rules for the enabled signed-quote handoff. New defaults do not replace flows already applied to projects.

Assign the work before it gets lost

Give steps and tasks an employee or team, and define how long each part should take. When the flow is applied, the project starts with responsibilities and timing already mapped out.

Make the next step obvious

Employees can see their work, due dates, and progress within the project. Managers can spot unfinished steps and coordinate the handoff to the next person.

Confirm the visit from the event

Send a customer confirmation email from the appointment. When the customer responds through the confirmation link, the appointment’s confirmation status updates.

Give technicians the next action

Keep the appointment tied to the customer, property, and project. Attach a payment request so the technician can collect in the field with the right amount and record in view.

Document the whole visit

Collect job photos and field notes together. Keep site conditions, installation details, and closeout evidence connected to the project, opportunity, or service ticket they describe.

Build your own checklists

Create checklist templates for site surveys, installation quality, inspections, and closeout. Define the documentation your company expects so crews know what to capture on each visit.

Bring field tools into one system

Give the office access to the documentation as part of the job record. Use Jobsite to consolidate the photo and checklist work you currently spread across separate documentation tools.

Check the account before collecting

Link your company’s Stripe account and check its mode and collection readiness. In enabled workspaces, create USD card checkout links for remaining issued invoice balances. Confirmed payments update the job’s payment history.

Collect from the office or the field

Create invoices and payment requests from the office. In the mobile workflow, authorized technicians can open an invoice attached to a calendar event or find an existing invoice through the project in CRM when it was not attached to the event. Collection requires the company’s payment setup to be ready.

Know exactly what is left

Compare item costs, selling prices, and their difference. Total Job Cost and Total Job Profit are also project fields you can display in your project list, with profit calculated from sold value minus tracked costs.

Account for the whole job

Track materials, labor, permits, subcontractors, equipment, office hours, and overhead using fixed amounts, quantities and unit costs, or a percentage of sold value. These are tracked job costs; recording them does not pay vendors or update a general ledger.

Make repeatable costs automatic

Build a reusable cost library and bundles of costs that belong together. Route costs or bundles by Job Type so matching projects start with the right defaults, while keeping each project's adjustments independent.

13Warranty & service

Keep service moving. Keep it separate from new sales.

Warranty callbacks need their own process. Soffyt’s Service workspace gives them dedicated tickets, pipelines, and stages, so your team can organize the follow-up work without mixing it into the revenue-producing sales pipeline.

The history comes with the ticket

Keep the customer, property, notes, appointments, and documentation connected. Give the responding team the context they need to understand the issue and follow through.

See service as its own metric

Build the report you need

Choose a data source, select fields, apply filters, and configure the report. Save useful views so the next person asking the same question has a reliable place to start.

Go from owner view to team detail

Use dashboards for a company-wide picture and narrow the view by dates, job type, or owner. Give a growing team the detail it needs without forcing a small company into an oversized reporting process.

Build around the question you need answered.

Select a source, choose the fields to compare, and turn the results into a chart or record table. Preview the report with your data, then save it to a dashboard your team can return to.
