Before you start
You need a customer, an open opportunity, and a published quote template. Your role must allow quote creation. Price Book items, document templates, and payment schedules help the team use consistent pricing and paperwork.
Build the quote
Open Quotes or use New quote from the opportunity.
- Select the customer and open opportunity. Check the title, template, and validity date before opening the builder.
Add the work from Price Book or enter the supported custom items. Review quantities, units, selling prices, discounts, and tax.
Expand a quote line to review its description, quantity, unit, and selling price. - Check which items and options are included. Make the scope clear enough for both the customer and the team delivering it.
Select the appropriate proposal and contract documents and payment schedule. Review the milestone amounts and due timing.
Review the payment milestone amounts and due timing in the quote builder. Preview the customer’s documents. Confirm names, job address, scope, totals, and payment instructions before sending or sharing them.
Preview quote opens the customer document. This example still has no proposal template selected; finish template selection before sending.
Keep sent and signed versions clear
Quotes and documents use versions so an accepted agreement can retain the details the customer saw. A template edit does not rewrite an earlier signed document. When revising a quote, review the new customer preview and make sure you are sharing the intended version.
Check the project handoff
With the signed-quote handoff enabled, acceptance creates or connects the project and carries the sold work into it. A configured project flow supplies tasks and ownership. Check the resulting project and handoff status; an unavailable flow or missing setup can require administrator attention. Crew appointments still need scheduling.
Understand project handoff and flowsUse a change order for approved changes
Create a change order for the existing project when the agreement changes. In Soffyt, the accepted change order represents the revised complete scope: review the resulting contract total, not just the price of the added item. Acceptance updates the current project scope and remaining payment plan while preserving recorded payments and issued invoices.
If you cannot create or send a quote
Check that the opportunity is open and a suitable template is published. Confirm your permissions and any required document fields. For delivery problems, review the connected mailbox and delivery status before sending the same message again.
